Atlantic ER Vet Consults, LLC. provides remote veterinary consulting services to licensed veterinary hospitals and clinics. This Privacy Policy describes the information we collect, how it is used, how it may be disclosed, and the safeguards in place to protect it.

In the course of providing consulting services, we collect professional contact information from veterinary hospitals and authorized representatives, including names, email addresses, phone numbers, clinic names, and billing information. We also receive patient (animal) medical records, diagnostic results, imaging, and related clinical documentation necessary to provide consultative recommendations. We do not collect information from the general public and do not market to consumers.

Payment information is processed securely through Stripe. Credit card data is entered directly into Stripe’s secure, PCI-DSS compliant payment environment. Atlantic ER Vet Consults does not store full credit card numbers on its servers. Card information may be securely retained by Stripe for authorized future charges when a card-on-file arrangement is agreed upon by the hospital.

Information collected is used solely to provide veterinary consulting services, communicate regarding active or completed consultations, process payments, maintain financial records, and comply with legal and regulatory obligations. We do not sell, rent, or share client information for marketing purposes.

Information may be disclosed only as necessary to trusted third-party service providers that support business operations, including scheduling platforms such as Acuity Scheduling and secure payment processors. Such disclosures occur electronically through encrypted systems and are limited to the minimum information necessary to perform the service. Information may also be disclosed if required by law.

We implement reasonable administrative, technical, and physical safeguards to protect information, including encrypted website connections (SSL), secure cloud-based scheduling systems, password-protected accounts, limited access to sensitive records, and industry-standard payment security practices. While no electronic transmission system can guarantee absolute security, we take commercially reasonable measures to safeguard all submitted information.

Information is retained only as long as necessary to provide services, maintain appropriate medical and financial records, and comply with applicable legal requirements.
